Company Settings

A management page where administrators create and configure the company profiles that the credit control system operates on, link each company to its accounting integration, and monitor integration sync status.

Overview

Company Settings is the central place to register every legal entity or trading company whose accounts receivable data flows into Credit Control. Each company record holds its identity details (name, code, address, VAT/CRN), its currency, its integration link to the accounting system, and optional bank details used on customer statements. The page also shows summary KPI cards for total companies, active integrations, active users, and document templates. You must have the Administrator role to access this page.

Summary KPI Cards

Four cards: Total Companies, Active Integrations, Active Users (click to navigate to Users), and Document Templates (click to navigate to Templates).

Company List Table

Lists every registered company with Code, Name, Status, Currency, Integration badge, Linked Database, Linked Sub Ledger, User Count, Created Date, and Last Sync timestamp. Sub-companies are indented under their parent.

Search and Filter

Search by company name or code. Filter to Active or Pending Setup. Sort by Name A-Z, Name Z-A, Newest, or Oldest.

Add Company

Multi-step wizard: Step 1 captures Company ID (max 7 alphanumeric characters) and Company Name; optional fields include Address, VAT Reg No., Company Reg No., Phone, Email, and Logo. Subsequent steps configure integration and bank details.

Integration Setup

Link each company to a Financials or DimensionsvNext instance and Sub Ledger. Integration status: Connected, Partial, or Not Connected.

Bank Details

Multiple bank detail rows per company (one per currency): Sort Code, Account Number, Account Name, IBAN, and SWIFT/BIC. These appear on customer statements.

Pending Setup Flow

Companies in Pending Setup status can be completed via the row menu or by clicking the row.

Count of all registered company records regardless of status.

Count of companies with a Connected integration status.

Count of users with Active status. Click to navigate to User Management.

Count of configured document templates. Click to navigate to Document Templates.

Search bar

Filters the company list by partial match on name or company code.

Status filter

Restricts to All Status, Active, or Pending Setup companies.

Sort dropdown

Orders by Name A-Z, Name Z-A, Newest (created date desc), or Oldest.

Add Company button

Opens the Create Company dialog. Only visible to administrators.

Company ID column

Short alphanumeric code (max 7 characters). Unique and cannot be changed after creation.

Company Name column

Display name. Sub-companies are indented with a corner-arrow icon. External Company Name shown beneath if it differs.

Status column

Active (green badge) = fully configured. Pending Setup (orange badge) = created but not yet completed.

Currency column

Base currency of the company, imported from the integration.

Integration column

Connected (solid), Partial (secondary/grey), or Not Connected (outline).

Linked Database column

Name of the accounting system instance linked to this company.

Linked Sub Ledger column

The Sub Ledger within the linked database. Shows a dash if not applicable.

Users column

Number of user accounts associated with this company.

Created Date column

Date the company record was created.

Last Sync column

Date and time of the most recent successful data sync. Shows -- if no sync has occurred.

User Guide

Getting Started

Navigate to Settings → Company Settings. This page is only accessible to users with the Administrator role.

How do I add a new company?

  1. Click the Add Company button in the top right of the page.

  2. Enter a Company ID — up to 7 alphanumeric characters with no spaces.

    Note: The Company ID cannot be changed after the company is saved. Choose a code that matches your internal reference convention.

  3. Enter the Company Name.

  4. Optionally complete Address, VAT Registration No., Company Registration No., Phone, and Email.

    Tip: VAT and CRN fields are validated against UK formats. They will warn if the format does not match but will still save.

  5. Optionally upload a company logo (PNG, JPG, GIF, or SVG, max 5 MB).

  6. Click Next to proceed through the integration and bank details steps.

How do I link a company to an accounting integration?

  1. Click the row for the company you want to configure, or select View from the row actions menu.

  2. In the company dialog, select the Integration tab.

  3. Select the accounting product from the dropdown: Financials or DimensionsvNext.

  4. Wait for the system to fetch available instances, then select the correct instance.

    Note: If no instances appear, the product may not be provisioned on your Evo account. Contact your system administrator.

  5. Select the correct Sub Ledger if applicable.

  6. Click Save. The integration status on the company row updates to Connected once the first sync completes.

How do I complete a Pending Setup company?

  1. Identify companies with an orange Pending Setup badge in the Status column.

  2. Click the company row, or open the row actions menu and select Complete Setup.

  3. Review and complete the required fields, then click Save. The company status changes to Active.

    Note: Saving a Pending Setup company activates it immediately. All users with access to that company will see its data from this point forward.

How do I add or update bank details for a company?

  1. Open the company dialog by clicking the company row.

  2. Select the Bank Details tab.

  3. Click Add Bank Detail to add a new row.

  4. Select the Currency, then enter Sort Code, Account Number, Account Name, IBAN, and SWIFT/BIC as applicable.

    Note: IBAN is displayed with spaces for readability but stored without spaces. Each currency can have only one bank detail row.

  5. Click Save. Bank details appear on customer statements generated for that company.

Pro Tips

  • Use the Status filter to show only Pending Setup companies at the start of an onboarding project — this gives you a clear checklist of companies still to configure.

  • Check the Last Sync column each morning before collections work begins. If a company shows -- or a timestamp older than expected, contact your system administrator.

  • Keep Company IDs short and meaningful (e.g. "UK01", "IE02") — they appear in reference fields across the platform and in exported data.

  • Add bank details for every currency a company trades in before running the first statement batch.

FAQ

What does the Pending Setup status mean? The company record was created (usually automatically by an integration import) but has not yet been fully configured. The company is not fully operational until you complete its setup.

What does the Integration status badge show? Connected = linked to an accounting instance and syncing data. Partial = a link exists but is incomplete. Not Connected = no integration has been configured.

Why is the Currency field read-only in the company dialog? The currency is imported automatically from the linked accounting system. If the wrong currency is showing, check the integration configuration and re-sync.

Can I change the Company ID after a company has been created? No. The Company ID is used as an internal key throughout the system and cannot be modified after creation.

How do I delete a company? Company deletion is not available directly from this page. If a company needs to be removed, contact your system administrator — deletion requires a full data review.

Why is there no Sync option in the row actions menu? Manual sync is not available from the row actions menu. Data synchronisation is handled automatically by scheduled background jobs.

What file formats are supported for company logos? PNG, JPG, GIF, and SVG. Files must be under 5 MB.

Can I have more than one bank detail row per company? Yes. You can add one bank detail row per currency. Each currency can have its own Sort Code, Account Number, IBAN, and SWIFT/BIC.
