Overview
The Transactions page shows every financial transaction across all customer accounts in one place. Use it to find a specific invoice, review overdue balances, check on unallocated receipts, flag disputed transactions, create collection cases, or run exports for period-end reporting. The page loads by default filtered to outstanding transactions. You can refine the list further using the metric cards, the search bar, and the advanced Filter Sheet.

User Guide
Getting Started
Open Transactions from the left navigation. The page loads pre-filtered to outstanding transactions (Outstanding Balance > 0). If the list appears empty, check that your accounting system integration is active under Settings.
How do I find a specific invoice?
Type the invoice reference number, customer name, or a keyword in the Search bar.
Tip: The search is debounced — wait a moment after typing before the results update.
Click the Reference Number link in the results to open the Transaction Detail Sheet.
Note: If you cannot find the transaction, check whether the Filters button shows active filters. The default Outstanding preset excludes fully paid transactions.
How do I use the metric cards to filter transactions?
Click one of the four cards: Total Outstanding, Overdue, At Risk, or Unallocated Receipts.
The list immediately updates to show only transactions matching that metric. The selected card shows a ring highlight.
Note: The metric card filter and the Filter Sheet filters are applied together — both are active at the same time.
Click the same card again to deselect it and return to the unfiltered view.
Tip: Use the At Risk card to build a same-day contact list — it shows invoices due today or within the next 7 days alongside already-overdue ones.
How do I apply advanced filters?
Click the Filters button to open the Filter Sheet.
Select any combination of Customer, Transaction Type, Status, Currency, Date Range, Amount Range, Outstanding Balance Range, and Flags.
Note: You can set only a Min or only a Max in any range field.
Click Apply to apply the filters and close the sheet. A count badge on the Filters button shows how many filters are active.
Tip: To save the current filter combination for reuse, click the Save icon (star) inside the Filter Sheet before clicking Apply.
How do I save and reuse a filter preset?
Configure the filters you want inside the Filter Sheet.
Click the Save Preset button (star icon) at the top of the Filter Sheet.
Type a name for the preset and confirm.
The preset now appears at the top of the Filter Sheet. Click it to reload those filters in future sessions.
Note: The default "Outstanding Transactions" preset cannot be deleted. Any custom preset can be deleted using the trash icon.
How do I perform bulk actions on selected transactions?
Tick the checkbox on each row. Use the header checkbox to select all visible rows.
The Selection Toolbar appears at the bottom of the screen.
Click Export to download the selected rows, or click Actions to see what is available.
Note: The Actions menu only appears when all selected rows belong to the same customer. Available actions depend on transaction types:
Create Collection Case — available when at least one invoice is selected.
Create Promise to Pay — available when at least one invoice is selected.
Flag as Disputed — available when at least one invoice is selected.
Add Note — available for a single row only.
Send Invoice Copy — available when at least one invoice is selected from a single customer.
Allocate Receipt — available when all selected rows are unallocated receipts.
View Allocation History — available when selected rows share the same allocation reference.
How do I export transactions?
Apply any filters and metric card selections you want reflected in the export.
Select at least one row to reveal the Selection Toolbar, then click Export.
Export Current View — exports only the columns currently visible.
Export All Columns — exports every available column regardless of visibility.
The export runs server-side. A notification appears when the file is ready to download.
How do I flag a transaction as disputed?
Select the invoice row(s) using the row checkboxes.
Note: All selected rows must belong to the same customer for the Actions menu to appear.
Click Actions in the Selection Toolbar, then select Flag as Disputed.
Fill in the dispute type and reason in the dialog, then click Save.
How do I allocate an unallocated receipt?
Click the Unallocated Receipts KPI card to filter the list to receipts with an outstanding balance.
Select one or more unallocated receipts using the row checkboxes.
Click Actions in the Selection Toolbar, then select Allocate Receipt.
Note: The Allocate Receipt option only appears when every selected row is an unallocated receipt. Mixed selections of invoices and receipts will not show this option.
You will be taken to the Allocation Workspace for the selected receipt.
Pro Tips
Pin the Overdue filter preset and use it at the start of each day. Sort by Outstanding Amount descending to see the highest-value overdue invoices first.
Use the Currency filter in the Filter Sheet alongside the Currency Toggle to isolate a foreign-currency ledger — set Currency filter to a single currency, then toggle to Customer Currency.
The Outstanding Balance Min/Max filter is separate from the Gross Amount filter. Use the Outstanding Balance range to find invoices with a specific remaining balance — useful for identifying part-paid invoices.
When a customer calls about a statement discrepancy, use the Customer filter to show only their transactions, then sort by Transaction Date descending to walk through the ledger chronologically with them.
FAQ
What does the Outstanding Amount column show? The unpaid balance remaining after any part-payments, credit note allocations, or receipt allocations. For receipts, it shows how much is still unallocated to an invoice.
What does the At Risk KPI card include? All invoices already overdue plus invoices with a due date falling within the next 7 days. Use it as a forward-looking collection list.
What do the flag icons in the Flags column mean? Red triangle = active dispute; blue coin = promise to pay; orange briefcase = collection case. Hover over any icon to see a tooltip.
Why is the transaction I am looking for not in the list? The page loads with the Outstanding Transactions preset active, which excludes completed transactions. To find a paid transaction: open the Filter Sheet, add "Completed" to the Status field, clear the Outstanding Balance Min field, and click Apply.
Can I delete a transaction? No. Transactions cannot be deleted from within this application. Deletions, reversals, or corrections must be made in your source accounting system.
What does the default Outstanding Transactions preset do? It sets the Outstanding Balance Min filter to 0.01, excluding any transaction with a zero or negative outstanding balance. It is restored when you click Clear Filters.
