A complete list of all customer accounts showing outstanding balances, overdue amounts, credit limits, risk levels, and DSO — used to monitor the ledger and take collection action.

Overview

Customer Accounts shows every customer in your accounts receivable ledger in a single table. Four KPI cards at the top give you an immediate picture of total customers, total outstanding balance, total overdue balance, and the count of high-risk accounts. Use the search bar, risk filter, and More Filters panel to narrow the list. Select one or more rows to send emails, log calls, assign collection strategies, reassign credit controllers or account managers, send statements, or export. Click a customer name to open their full detail record.

Show/hide columns, drag to reorder, right-click to pin or reset.

Export

Export the current filtered view (visible columns) or all columns to Excel.

Total Customers card

Count of all active customer accounts in the ledger.

Outstanding Balance card

Sum of all open invoice balances in base currency.

Overdue Balance card

Sum of all invoice balances past their due date in base currency.

High Risk Customers card

Count of customers currently rated High risk.

Search bar

Free-text filtering by customer name or account number in real time.

Risk filter dropdown

Filters to a single risk level: All Risk Levels (default), High, Medium, or Low.

Currency Toggle

Switches Outstanding, Overdue, and Credit Limit between customer and base currency.

Filters button

Opens the More Filters slide-out panel.

Export button

Dropdown: Export Current View or Export All Columns (both Excel).

Column Settings button

Opens Column Configuration dialog to show/hide columns.

Row checkbox

Selects a customer row for bulk actions. Header checkbox selects all on current page.

Customer Name (link)

Click to navigate to the Customer Detail page. Only clickable cell that navigates.

Account Number

Unique identifier for this customer in the source accounting system.

Outstanding

Total open invoice balances. Shown in customer or base currency per the toggle.

Overdue

Portion of the outstanding balance past invoice due date.

Credit Limit

Maximum approved credit for this customer.

Available Credit

Credit Limit minus Outstanding Balance. Negative when balance exceeds the limit.

Credit Utilisation

Outstanding balance as a percentage of the credit limit.

DSO

Days Sales Outstanding — average days this customer takes to pay invoices.

Risk Level badge

Colour-coded rating: High, Medium, or Low.

Last Payment

Date of the most recent receipt applied to this account.

Payment Terms

Agreed payment terms (e.g., Net 30).

Collection Strategy

Strategy currently assigned to this customer.

Credit Controller

Team member responsible for collection activity on this account.

Account Manager

Relationship manager linked to this account.

Column header context menu

Three-dot menu: Pin to Left, Pin to Right, Reset Column Widths, Reset Column Order.

More Filters panel

Multi-select filters: Currencies, Payment Terms, Collection Strategies, Credit Controllers, Account Managers, four user sort keys, plus Min/Max range inputs for Outstanding, Overdue, Credit Limit, and DSO.

Bulk Action toolbar

Floating bar showing selected count, combined outstanding and overdue totals, plus Export and Actions buttons.

Pagination controls

Shows current page / total pages. Row count per page: 10, 25, 50, or 100.

User Guide

Getting Started

Select Customer Accounts from the left navigation. The page loads with all customers visible and no filters applied. Customers are populated automatically from your accounting system integration — if the list is empty, contact your administrator to confirm the integration is running.

How do I find a specific customer?

  1. Click the Search bar in the toolbar above the table.

  2. Type the first few characters of the customer name or account number.

  3. The list filters in real time. Click the customer's name (underlined link) to open their detail page.

    Note: Only the customer name cell is a navigation link. Clicking other cells does not navigate to the detail page.

How do I filter by risk level?

  1. Click the Risk filter dropdown in the toolbar.

  2. Select a risk level — for example, High Risk.

  3. The table updates immediately.

    Tip: Combine the risk filter with the search bar or More Filters panel to narrow further — e.g. High Risk accounts on Net 30 terms.

How do I use the advanced filters?

  1. Click the Filters button in the toolbar to open the More Filters panel.

  2. Select values in any multi-select filter: Currencies, Payment Terms, Collection Strategies, Credit Controllers, Account Managers, or the configurable user sort key fields.

  3. Enter minimum and/or maximum values in the numeric range fields: Outstanding, Overdue, Credit Limit, or DSO.

    Tip: To find customers over their credit limit, enter a value in Credit Limit Max and check the Credit Utilisation column in the results.

  4. Click Apply Filters. The Filters button shows a count badge for active filters.

  5. To remove, open the panel and click Clear Filters, then Apply Filters.

    Note: Closing the panel without clicking Apply discards draft changes and keeps previously applied filters.

How do I switch between customer currency and base currency?

  1. Click the Currency Toggle in the toolbar.

  2. Select Customer Currency to show amounts in the currency of each account.

  3. Select Base Currency to convert all amounts to your organisation's home currency.

    Note: The KPI cards at the top always show base currency totals regardless of the toggle.

How do I perform a bulk action on multiple customers?

  1. Tick the checkbox on each customer row you want to include.

    Tip: Tick the header checkbox to select all rows on the current page at once.

  2. A floating action toolbar appears at the bottom of the screen.

  3. Click the Actions dropdown and choose:

    • Send Email — sends a templated or custom email to all selected customers.

    • Log Call — records a call note (single-customer selection only).

    • Send Statements — generates and sends account statements to all selected.

    • Assign Strategy — applies a collection strategy to all selected.

    • Assign Credit Controller — reassigns the credit controller for all selected.

    • Assign Account Manager — reassigns the account manager for all selected.

    • Assign Risk Level — manually overrides the risk level for all selected.

    • Add Note — adds an internal note (single-customer selection only).

  4. Click the X in the toolbar or deselect all rows to dismiss it.

    Note: Bulk actions apply only to the customers you have selected — not all filtered rows.

How do I configure which columns are visible?

  1. Click the Settings icon (cog) in the toolbar to open Column Configuration.

  2. Toggle the switch next to each column name to show or hide it.

  3. Click Save. Your preferences persist across sessions.

    Tip: To reorder columns, drag a column header left or right to the position you want.

How do I pin a column so it stays visible when scrolling?

  1. Hover over the column header you want to pin.

  2. Click the three-dot menu (...) that appears on the right side of the header.

  3. Select Pin to Left or Pin to Right.

  4. To unpin, click the three-dot menu again and select Unpin.

How do I export the customer list?

  1. Apply any filters you want reflected in the export.

  2. Click the Export icon in the toolbar.

  3. Select Export Current View (visible columns only) or Export All Columns.

    Note: The export reflects the current filter state. If no filters are active, the full list is exported.

  4. The file downloads immediately as an Excel spreadsheet.

Pro Tips

  • Sort by Overdue descending at the start of each week to build a call list prioritised by value. Pair with the High risk filter to focus on the accounts most likely to become bad debt.

  • Use the Outstanding Min/Max fields in More Filters to isolate a specific value band before bulk-assigning a targeted collection strategy.

  • Pin the Customer Name column to the left so it stays visible when scrolling through financial columns. Pin Overdue next to it for quick reference during calls.

  • When a credit controller leaves, filter by their name in More Filters and use bulk Assign Credit Controller to reassign their entire portfolio in one step.

FAQ

How does the system calculate the Risk Level for each customer? In Release 1, Risk Level is assigned manually — there is no automated calculation. Use the Assign Risk Level bulk action or open the Customer Detail page to set it for an individual customer.

How do I find a customer that should be on the list but isn't showing? Customers appear only after synchronisation from your accounting system. Check the integration run schedule. Also confirm no active filters are excluding them — click the risk filter to All Risk Levels and clear any More Filters selections.

Can I add a new customer from this page? No. Customers are created in your accounting system and imported via the integration.

What does Available Credit mean? Credit Limit minus the current outstanding balance. A negative value means the customer has exceeded their approved credit limit.

What does Credit Utilisation mean? Outstanding balance as a percentage of the credit limit. Values above 100% indicate the balance exceeds the limit.

Can I change a customer's credit limit from this page? No. Credit limits are managed inside the Customer Detail page.

What does DSO mean for an individual customer? The average number of days between invoice date and payment receipt across their paid invoices.

How do I see all customers assigned to a specific credit controller? Click Filters to open More Filters. In the Credit Controllers multi-select, select the controller's name. Click Apply Filters.

Can I sort by multiple columns at the same time? No. Only single-column sorting is supported. Click a column header to sort; click again to toggle ascending/descending; click a third time to remove the sort.
