General Settings

The General Settings page is where administrators configure system-wide defaults that control how ageing analysis bands are displayed, how DSO is measured, how credit limit warnings behave, how customer category keys are labelled, and what display name appears on outgoing emails.

Overview

General Settings contains four tabs — Metrics, Customers, Risk & Credit, and Email — each governing a different area of system behaviour. Changes saved here apply globally to all users and all company data. Only users with the Administrator role can access this page.

Important: Each tab saves independently. Make your changes on one tab, click Save Changes, then move to the next tab.

Metrics tab — Ageing Bands Configuration

Define 1 to 10 custom ageing bands. Each band has a name, start/end day range, colour, and optional feed notification alert. Bands are drag-reorderable and validated in real time.

Metrics tab — DSO Target

Set the global Days Sales Outstanding target (in days) displayed on the main Dashboard Performance Snapshot. Default is 40 days.

Metrics tab — Ageing By toggle

Switch ageing calculations between Due Date (the invoice payment due date) and Transaction Date (the date the invoice was raised). Affects the Ageing Analysis page and all ageing band columns.

Customers tab — On Stop Notes

When enabled, users are prompted to enter a note when placing a customer on stop. The note is saved to the customer's Notes tab.

Customers tab — Category Keys

Rename the four User Sort Key fields (User Sort Key 1-4) to organisation-specific labels. These appear on the Customer Accounts page, customer detail pages, and in the More Filters panel.

Risk & Credit tab — Credit Limit Warnings

Enable notifications when a customer exceeds their credit limit. Choose whether to notify the assigned credit controller, specific named users, or both. Set a warning threshold percentage.

Email tab — Sender Display Name

Set the display name that appears in the "From" field of automated emails sent from Collection Strategies.

Metrics tab

Contains DSO target configuration, the Ageing By toggle, ageing band configuration, and band-level alert settings.

Configured Bands card

Shows how many ageing bands are currently configured (maximum 10).

Active Alerts card

Shows how many configured bands have feed notification alerts enabled.

Target DSO card

Shows the current DSO target value in days.

Target DSO (Days) field

A number input for the DSO target. Must be a positive integer. Default is 40.

Ageing By toggle

Switches ageing calculations between Due Date and Transaction Date.

Visual Preview bar

Colour-coded bar showing all configured bands proportionally. Hover over a segment to see the band name and day range.

Add Band button

Adds a new band after the last existing band. Disabled when 10 bands are already configured.

Band Name field

The label for this ageing band as it appears in charts, tables, and column headers.

Start Day field

The first day number in this band's range. Must be exactly one greater than the End Day of the previous band.

End Day field

The last day number in this band's range. Must be greater than Start Day.

Color picker

A colour input for selecting the band's display colour used in charts and the visual preview bar.

Drag handle (grip icon)

Drag a band row up or down to reorder bands. Also supports keyboard reordering with Arrow Up / Arrow Down keys.

Remove band button (trash icon)

Deletes this band. Disabled when only one band remains.

Customers tab

Contains On Stop Notes configuration and Category Keys (User Sort Key label customisation).

Require Note When Placing Customer On Stop toggle

When enabled, a note dialog appears each time a user places a customer on stop.

User Sort Key 1-4 Label fields

Four text inputs to rename User Sort Key columns to organisation-specific labels (e.g., "Region", "Territory"). Labels appear across the application.

Risk & Credit tab

Contains credit limit exceeded notification settings and the credit warning threshold.

Credit Limit Exceeded Notification toggle

When enabled, the system sends a feed notification whenever a customer's outstanding balance exceeds their credit limit.

Notification Recipients — Assigned Credit Controller checkbox

Sends the notification to the credit controller assigned to that specific customer.

Notification Recipients — Specific Recipients field

A user search combobox for adding named users who receive all credit limit exceeded notifications.

Credit Warning Threshold field

A percentage value (1-100). An early-warning notification is sent when a customer's credit utilisation reaches this threshold. Default is 80%.

Email tab

Contains the sender display name setting for outgoing emails.

Sender Email Address field (read-only)

The fixed email address used as the system sender. Cannot be changed from this page.

Sender Display Name field

The name that appears in the "From" field of all outgoing system emails.

Save Changes button

Saves all changes made on the currently active tab. Each tab saves independently.

Cancel button

Discards all unsaved changes on the current tab and resets fields to the last saved values.

User Guide

Getting Started

Navigate to Settings > General Settings. You must have the Administrator role to access this page. Each tab saves independently — make your changes on one tab, click Save Changes, then move to the next tab.

How do I add or edit an ageing band?

  1. Click the Metrics tab.

  2. To add a new band, click Add Band. A new band is appended after the last existing band.

  3. To edit an existing band, update the Band Name, Start Day, End Day, and Color fields directly in the band row.

  4. Ensure there are no gaps between bands — Start Day of each band must equal End Day of the previous band plus 1.

    Note: The system validates bands in real time and shows an error message below the page title if any gaps, overlaps, or missing names are detected. The Save Changes button will not save until all errors are resolved.

  5. Click Save Changes.

How do I reorder ageing bands?

  1. Click the Metrics tab.

  2. Drag a band row by its grip handle (vertical dots icon on the left) and drop it in the desired position.

  3. Alternatively, focus the grip handle using the keyboard and press Arrow Up or Arrow Down.

    Tip: After reordering, check that Start Day and End Day values still connect consecutively — reordering does not automatically renumber the day ranges.

  4. Click Save Changes.

How do I change the DSO target?

  1. Click the Metrics tab.

  2. Find the DSO Target Configuration card.

  3. Enter the new target value in the Target DSO (Days) field. Must be a positive integer.

  4. Click Save Changes.

    Tip: The new target is reflected immediately on the main Dashboard Performance Snapshot for all users.

How do I switch ageing calculations from Due Date to Transaction Date?

  1. Click the Metrics tab.

  2. Find the Ageing By toggle inside the Ageing Analysis Bands Configuration card.

  3. Switch the toggle from Due Date to Transaction Date.

  4. Click Save Changes.

    Note: This change affects the Ageing Analysis page and all ageing band columns throughout the application.

How do I rename the User Sort Key fields?

  1. Click the Customers tab.

  2. Find the Category Keys card.

  3. Update the labels in the User Sort Key 1-4 Label fields.

  4. Click Save Changes.

    Tip: Use short, clear labels (e.g., "Region", "Territory") that will display clearly in table column headers and filter dropdowns.

How do I enable On Stop Notes?

  1. Click the Customers tab.

  2. Find the On Stop Notes card.

  3. Switch on the Require Note When Placing Customer On Stop toggle.

  4. Click Save Changes.

    Note: Once enabled, any user who places a customer on stop will see a note prompt. The note is mandatory — users cannot complete the on-stop action without entering text.

How do I set up credit limit exceeded notifications?

  1. Click the Risk & Credit tab.

  2. Switch on the Credit Limit Exceeded Notification toggle.

  3. Tick Assigned Credit Controller if you want the customer's own controller notified.

  4. Use the Specific Recipients field to search for and add any additional named users who should always receive the alert.

  5. Set the Credit Warning Threshold percentage.

    Note: At least one of Assigned Credit Controller or a Specific Recipient must be selected when the notification is enabled.

  6. Click Save Changes.

How do I change the email sender display name?

  1. Click the Email tab.

  2. Update the Sender Display Name field with the name you want recipients to see.

  3. Click Save Changes.

    Note: The Sender Email Address field is read-only. To change the actual sender email address, contact your system administrator.

Pro Tips

  • When configuring ageing bands, keep band names short — they appear as column headers in the Ageing Analysis table. Names longer than 12 characters may be truncated.

  • Use the 80% credit warning threshold to give the credit team a window to contact a customer before they formally breach their limit.

  • After renaming User Sort Key labels, communicate the new names to your team — only the display label changes, not the underlying data.

  • Each tab saves independently. If you need to change both the DSO target and the sender display name, save the Metrics tab first, then navigate to the Email tab and save again.

FAQ

What happens to existing ageing analysis data if I change the band ranges? The data itself is not changed — invoices and their ages are recalculated against the new band definitions on the next page load. No underlying transaction data is altered.

What does the Ageing By toggle actually change? It changes the date used to calculate how many days overdue an invoice is. Due Date ages from the payment due date on the invoice. Transaction Date ages from the date the invoice was raised.

Can I have more than 10 ageing bands? No. The system supports a maximum of 10 ageing bands. The Add Band button is disabled once 10 bands are configured.

Why is the Save Changes button not working? The Save Changes button is disabled if there are no unsaved changes, or if the Metrics tab has validation errors. Check the validation error list below the page title for any band configuration issues.

What does Credit Warning Threshold mean? The percentage of a customer's credit limit at which an early-warning notification is triggered. For example, with a threshold of 80%, a customer with a £10,000 credit limit will trigger a warning when their outstanding balance reaches £8,000.

Why can I not see the General Settings page? Only users with the Administrator role can access General Settings. Contact your system administrator to request Administrator access.

Does changing the sender display name affect emails already sent? No. The display name change only applies to emails sent after the change is saved.
