A full list of customer payments received, showing how much of each receipt has been allocated to invoices and providing a direct route into the Allocation Workspace for unmatched amounts.

Overview

The Receipts page shows every payment receipt across all customer accounts. Each row tells you the receipt number, the customer it came from, the currency, when it was received, the gross amount, how much is still unallocated, and the current allocation status. Use the four KPI cards at the top to quickly focus on receipts that need action — Unallocated, Partially Allocated, Fully Allocated, or the full list. From any row with an outstanding balance you can go directly into the Allocation Workspace to match the receipt to open invoices.

KPI Summary Cards

Allocation Status Filter

Status dropdown in the toolbar restricts the list to Fully Allocated, Partially Allocated, or Unallocated.

Currency Filter

Dropdown filters the list to receipts recorded in a specific currency.

Show or hide columns. Hidden by default: Allocated Amount, Created By, Created At, Modified By, Modified At.

Column Pinning & Reordering

Right-click or use the three-dot menu on column headers to pin. Drag headers to reorder.

Column Resizing

Drag the right edge of a column header to resize. Reset via the column header menu.

Quick Allocate Button

Every row with a non-zero Unallocated Amount shows an Allocate button leading directly to the Allocation Workspace.

Export

Server-side Excel export of the current filtered view.

Handles large datasets without loading all records into the browser. Rows per page: 10, 25, 50, or 100.

Total Receipts card

Total value and count of all receipts matching the current search and currency filters. Clicking clears the KPI allocation filter.

Fully Allocated card

Total value and count of receipts where the full gross amount has been matched to invoices.

Partially Allocated card

Total value and count of receipts where some but not all of the gross amount has been matched.

Unallocated card

Total value and count of receipts where no amount has been matched to any invoice.

Search bar

Free-text search across receipt number and customer name.

Status dropdown

Filters to Fully Allocated, Partially Allocated, or Unallocated. Selecting a status also highlights the corresponding KPI card.

Currency dropdown

Restricts the list to receipts in a specific currency.

Export icon

Triggers a server-side Excel export of the currently filtered receipt list.

Column Settings icon

Opens the Column Configuration dialog.

Receipt # column

Unique reference number from the accounting system.

Account Number column

Customer account number associated with this receipt.

Customer column

Name of the customer account the receipt belongs to.

Currency column

Currency in which the receipt was recorded.

Receipt Date column

Date the payment was received.

Gross Amount column

Full value of the receipt as received.

Allocated Amount column (hidden by default)

Portion of the gross amount matched to invoices.

Unallocated Amount column

Remaining unmatched portion. Shown in red when greater than zero.

Status column

Allocation state badge: Fully Allocated (teal), Partially Allocated (amber), or Unallocated (red).

Actions column

Shows an Allocate button on any row where the Unallocated Amount is greater than zero.

Column header three-dot menu

Per-column context menu: Pin to Left, Pin to Right, Unpin Column, Reset Column Widths, Reset Column Order.

Pagination footer

Current page / total pages. Rows per Page selector: 10 / 25 / 50 / 100.

User Guide

Getting Started

Navigate to Payments → Receipts in the left navigation. Receipts are synced automatically from your accounting system. If the list is empty, confirm that the company setup has been completed and the initial sync has run.

How do I find all receipts that need allocating?

  1. Click the Unallocated KPI card at the top of the page.

    Tip: The card shows a count next to the value — use this as your daily workload indicator.

  2. The table updates immediately to show only receipts with zero allocation. The card shows a ring highlight.

    Note: If you also want partially allocated receipts, use the Status dropdown and select Partially Allocated — or click the Partially Allocated KPI card.

  3. Sort by Receipt Date ascending to process the oldest receipts first.

How do I allocate a receipt to invoices?

  1. Find the receipt row. Unallocated and partially allocated receipts show an Allocate button in the Actions column.

  2. Click the Allocate button on the row.

    Note: The Allocate button only appears when the Unallocated Amount is greater than zero.

  3. You are taken to the Allocation Workspace with this receipt pre-loaded. Select the invoices to match and confirm the allocation.

  4. When you return to the Receipts page, the receipt's status and Unallocated Amount will reflect the allocation just made.

How do I search for a specific receipt?

  1. Type the receipt number or a few characters of the customer name into the Search bar.

  2. The list filters as you type. Clear the search field to return to the full list.

    Note: The search works alongside any active KPI card filter or Status dropdown selection — both are applied at the same time. If you are not finding the receipt, clear the KPI filter by clicking Total Receipts.

How do I filter receipts by currency?

  1. Click the Currency dropdown in the toolbar.

  2. Select the currency code (e.g., USD, EUR).

  3. The list and the KPI card totals update to reflect only receipts in that currency.

    Note: The KPI card values are always shown in the base currency of your company. When a Currency filter is active, the KPI totals reflect only the filtered receipts, converted to base currency for display.

How do I configure which columns are visible?

  1. Click the column settings icon (grid icon) at the right end of the toolbar.

  2. Tick or untick columns in the Column Configuration dialog.

    Tip: Enable the Allocated Amount column if you want to see how much of a partial receipt has already been matched, alongside the remaining Unallocated Amount.

  3. Click Apply to save. Column visibility is saved per user and persists across sessions.

How do I pin a column so it stays visible when I scroll?

  1. Hover over the column header to reveal the three-dot menu icon.

  2. Click the three-dot menu and select Pin to Left or Pin to Right.

  3. The column moves to the fixed side. Select Unpin Column from the same menu to release it.

    Tip: Pin the Receipt # and Customer columns to the left if you need to cross-reference values in the right-most amount columns.

How do I export receipts to Excel?

  1. Apply any filters (KPI card, Status, Currency, Search) to reflect in the export.

  2. Click the download icon in the toolbar.

    • The default export uses visible columns only.

    • Use Export All Columns if shown in the export dropdown to include all available columns.

  3. A notification appears when the file is ready. The export runs server-side.

    Note: The export reflects the current filter state. Apply all required filters before starting.

Pro Tips

  • Click the Unallocated KPI card every morning and sort by Receipt Date ascending — oldest unallocated receipts first. Work through them in order to keep your unapplied balance as low as possible.

  • Use the Currency filter combined with the Unallocated card to isolate foreign-currency receipts. Process these before end-of-month revaluation to avoid artificial exchange gains or losses.

  • If a receipt appears as Partially Allocated and you cannot see what it was matched against, navigate to the Allocation Workspace for that receipt.

  • Pin the Receipt # column to the left and the Actions column to the right when working on a large multi-currency list — this keeps the row identifier and the Allocate button visible regardless of horizontal scrolling.

FAQ

What does Unallocated mean? A receipt is Unallocated when none of its gross amount has been matched to any invoice. The full value sits as an open credit on the customer account.

What does Partially Allocated mean? Some but not all of the gross amount has been matched to invoices. The remaining unmatched amount shows in the Unallocated Amount column (in red).

What does Fully Allocated mean? The entire gross amount has been matched to one or more invoices. The Unallocated Amount column shows zero and the Allocate button no longer appears.

Why is the Allocate button not showing on a row? The Allocate button only appears when the Unallocated Amount is greater than zero. Fully Allocated receipts do not show this button.

Can I delete a receipt? No. Receipts cannot be deleted from within this application. Deletions, reversals, or corrections must be made in your source accounting system.

Why is a receipt I am looking for not in the list? Common reasons: (1) the receipt was imported in a different currency — try clearing the Currency filter; (2) an active KPI card filter is hiding it — click the Total Receipts card to show all; (3) the integration sync has not run yet — check Settings → Company for the last sync time.

Can I sort the receipts list by any column? Yes. Click any column header with an arrow icon to sort ascending. Click again to sort descending. Click a third time to clear the sort.
