User Management

Written by Russ Mullender

A two-tab administration page where administrators view and manage user accounts, assign roles, and configure the permission sets that control what each role can access across the platform.

Overview

The Users page has two tabs. The User Management tab lists every user account in the organisation — you can search, filter by role or status, sort the list, view full user details, change a user's role inline, manage their integration mapping, and manage their company access. The Roles & Permissions tab lists the platform roles (Administrator and User). Clicking a role opens its full permission breakdown. This page is only accessible to users with the Administrator role.

User Guide

Getting Started

Navigate to Settings → Users. This page is only accessible to users with the Administrator role. Users are created automatically when provisioned through the Evo system — you cannot create users manually from this page.

How do I find a specific user?

  1. Type the user's name or email address into the Search bar at the top of the User Management tab.

  2. Optionally apply the Role or Status filter to narrow the results further.

  3. Click the row or select View from the row actions menu (...) to open the full user detail.

How do I change a user's role?

  1. Locate the user in the table.

  2. Click the role badge in the Role column (e.g. "User").

  3. Select the new role from the dropdown that appears.

Note: Changing a user's role immediately resets their permissions to the default permission set for the new role. Any customisation at the individual user level is not preserved.

  4. A success toast confirms the role has been updated.

How do I assign company access to a user?

  1. Open the row actions menu (...) for the user and select Manage Companies.

  2. In the dialog, enable the toggle next to each company the user should have access to.

Note: A user with no companies assigned will not see any customer accounts, transactions, or collection cases until at least one company is linked.

  3. Click Save.

How do I view the permissions for a role?

  1. Click the Roles & Permissions tab.

  2. Click the role name or the chevron (→) at the end of the row.

  3. The Role Detail page opens showing every permission toggle for that role, grouped by module.

Note: Platform roles (Administrator, User) are system-defined and cannot be edited.

Pro Tips

  • Use the Status filter to show only Active users when reviewing team capacity — Inactive accounts inflate the total user count and can be misleading.

  • If a credit controller changes team, use Manage Companies to add their new company portfolio and remove the old one in the same session.

  • Review the Users Assigned count on the Roles & Permissions tab after any role restructuring to confirm no users are left on a deprecated role.

FAQ

Why can I not create a new user from this page? User accounts in Credit Control are provisioned automatically through the Evo platform integration. To create a new user, they must first be set up in Evo.

What does the Inactive status mean? Inactive means the user account exists but the user cannot log in. Their historical records are preserved. Inactive accounts do not count against active user limits.

What does changing a user's role do to their existing permissions? Changing the role resets the user's permissions to the default permission set for the new role.

Can I assign a user to more than one role? No. Each user has exactly one role at a time. The available roles are Administrator and User.

Can I edit the Administrator or User platform roles directly? No. Platform roles are system-defined and cannot be edited.

How do I find all users assigned to a specific role? On the User Management tab, open the Role filter dropdown and select the role name. The list updates to show only users assigned to that role.

What does the Users Assigned count on the Roles & Permissions tab show? The number of currently active user accounts assigned to that role. This count updates live when you change a user's role.
